Bilingual (English-Spanish) Assistant Property Manager Job Description:Bilingual (English-Spanish) Assistant Property Manager We are currently seeking an experienced Bilingual (English-Spanish) Assistant Property Manager to join our team in Tustin, CA 92780. Who we are: Advanced Property Services, LLC (APS) was formed in 1974 to manage C&C Development's investment property portfolio. We are a full-service property management company that manages affordable multi-family communities, including both family and senior communities. We maintain a commitment to all of our residents, managing properties to the highest standards possible providing a safe place to live. About the role: The Assistant Property Manager is responsible for assisting the Property Manager with the day to day operations of a large Orange County affordable housing community. The Assistant Property Manager will supervise and maintain a safe and secure living setting for each of the tenants in our properties. This position will also be responsible for assisting the Property Manager for leasing available units and ensuring that they are in compliance with, any or all, affordable housing programs. What you'll do: Assist with property management functions Assist property manager with the collection of monthly rent Assist for quarterly/ Semi Yearly Internal Audits of tenant files and property buildings Ensures that all resident files are maintained accurate, current and well organized for city and state audits Provide support during external and internal audits, as requested and required In charge of keeping the property's' Interest List up-to-date and doing call backs whenever there are vacant units Ensure that existing compliance related processes and procedures are being followed, with sufficient documentary evidence being maintained in the event of an internal/external audit. Assist with leasing apartments, move-ins and move-outs Ensure all information provided by current and prospective tenants is verified and accurate; doing credit and background checks, doing income, job verifications, verifications of deposit, and any other necessary processes required for lease approval Establish professional and positive relationships with tenants Assist Property Manager with conducting all certification and recertification's interviews as necessary per affordable program regulation and organization policy. Provide leadership to all staff by creating a positive work climate and creating a cohesive team environment Daily walk through of all property sites in affordable housing reporting any issues to their supervisor Responsible for overseeing the porter duties such as; clean all common areas, remove trash from all trash cans; wash trash cans, remove graffiti if necessary, etc. Complete or assist in the completion of the monthly property inspection report Assist with the management of collection and distribution of all property keys & keep organized. Support property and its tenant in emergency situations Fills in for Property Manager in their absence Follow all rules and procedures outlined in the APS Property Management Employee Handbook, Building Emergency Procedures and Building House Rules Follow new and revised procedures as developed and distributed Ensure that professional services are being provided at the site Perform and/ or assist in Inspections prior to move-in and before move-out, collect and keep on file income certifications and lease approval for tenants Provide notices of any pertinent information tenants must have Keep leasing files organized and in compliance at all times Works collaboratively with Director of Operations, Property Operations Manager, Compliance Manager, Property Manager and Compliance Specialists to ensure the property is fully occupied and in compliance with various local, state and federal programs Attend departmental and company meetings to review and report on tenant and building issues related to occupancy, compliance, or any other necessary information. Perform any additional duties as required Our ideal candidate: Education and Experience Minimum of High school diploma and 2 years in property management or the equivalent Skills and Abilities Ability to relate, encourage, adapt and be flexible Ability to add, subtract, multiply and divide, using whole numbers, fractions, and decimals. Ability to compute rate, ratio, and percent. Ability to effectively communicate including verbal, written, in small and large group settings Ability to manage multiple priorities and tasks including effective time management and attention to detail Must be able to collaborate effectively; ability to apply critical thinking skills when problem solving Understand, apply and comply with all company policies and procedures Proficiency in using a variety of computer software applications, specifically Microsoft Office programs Knowledge of administrative and clerical procedures and systems such as managing files and records, following up
