Description Benefits Supplemental Questions This recruitment is conducted on a continuous basis to meet the needs of the City as vacancies occur and may close at any time. This is a part-time, at-will, non-benefitted position. Hours are limited to less than 1,000 hours per fiscal year. Under immediate supervision, receives training and participates in a variety of projects and programs in support of an assigned department. The current vacancies are for the Planning and Building Divisions of the Community Development Department. DISTINGUISHING CHARACTERISTICS The Administrative Intern is a training classification specifically designed to provide on-the-job training to current students in pursuit of an associate's, bachelor's, or advanced degree. The employee performs administrative, technical, and/or professional duties in support of the assigned department, with actual duties dependent upon position assignment. Assignments are intended to both help the City meet its business objectives as well as provide the Administrative Intern with exposure to municipal government projects, programs, and processes. An employee in this classification works under direct supervision and performs increasingly responsible duties as experience is gained. Though the position is intended for current students, an incumbent may continue to be employed in this position for up to 12 months after graduation. SUPERVISION RECEIVED AND EXERCISED Receives immediate supervision from professional or management staff. No supervision is exercised. SELECTION PROCESS: Application materials will be carefully reviewed to identify those candidates who meet the minimum qualifications for this position. Individuals who are best qualified will be invited to participate in a panel interview. All candidates who pass the panel interview will earn placement on the eligible list, which may be used for current and future vacancies in the job classification. Examples of Duties: Duties may include, but are not limited to, the following:* Performs research and analysis on assigned projects, prepares reports to summarize findings, and makes recommendations for appropriate action; prepares visual aids such as charts, graphs, and presentation slides* Provides verbal or written information in response to inquiries and requests from other employees and the public; provides technical and administrative assistance* Maintains and updates a variety of departmental files, records, and databases; compiles data and prepares reports* Reviews applications, records, and files for completeness and conformance with established regulations and procedures* Assists department employees in the performance of assigned tasks Minimum Qualifications: A combination of education, experience, and training that has provided the necessary knowledge, skills, and abilities is required for entry into the classification. A typical combination includes: Education and/or Experience: Graduation from high school and current enrollment in an accredited college or university in pursuit of an associate's, bachelor's, or advanced degree with a major course of study in public administration, business administration, or a field related to the specific position assignment. Knowledge of:* Methods and techniques of research, statistical analysis, and report preparation* Standard business software, including word processing, spreadsheet, and database programs Skill to:* Operate various types of standard office equipment including a personal computer and related software Ability to:* Learn, interpret, explain, and apply departmental policies and procedures and pertinent federal, state, and local laws, codes, and regulations* Communicate clearly and concisely, both orally and in writing* Conduct basic research, perform analysis, and prepare reports of findings* Evaluate situations, identify problems, and exercise sound independent judgment within established guidelines* Establish and maintain courteous, cooperative, and effective working relationships with those encountered in the course of work* Prepare and maintain accurate and precise written records, forms, and correspondence* Deal constructively with conflict and develop effective resolutions using tact and discretion* Work independently within established guidelines Licenses and/or Certificates: Possession of a valid California Class C driver's license and an acceptable driving record. Special Requirements: Satisfactory results from a background investigation, physical examination and administrative screening.
